Insight Global Travel and Expense Specialist in Irvine, California

Job Description

Oversees the day-to-day administration of the company's travel and business expense reimbursement program. Responsibilities include ongoing education of employees, enforcement of policy, management of travel and expense systems, and analysis of travel spend data to aid strategic policy design and procedural decisions with Senior Leadership.

PR: $40 - $45/hour

Skills and Requirements

- Manage Travel & Expense (T&E) system including Audit Rules as well as platform administration and regular maintenance

- Maintain users in the T&E system, working in collaboration with the corporate credit card program

- Review and approve all expense reporting submissions ensuring compliance with all applicable policies

- Craft and deliver Internal and External communications regarding travel and policy changes

- Identify credit card payment delays and alert users as needed

- Act as subject matter expert on the usage of the Travel & Expense system functionality

- Develop training materials and conduct ongoing internal training on all T&E processes and policies for both new and existing employees

- Serve as the main point of contact for all travel, expense, and travel credit card related questions

- Partner with appropriate departments and personnel to revise and update travel and expense policies as needed

- Work closely with data analyst to identify process and develop SOP for new user registration

- Troubleshoot system and user access issues

- Identify trends via data analysis and anticipate needs for platform and company growth

- Maintain Confluence resources and ensure all policies, procedures and processes are current

- Work cross functionally with and serve as a resource to all departments/divisions throughout the organization on travel initiatives.

- Perform regular auditing of systems functions and users

- Provide reporting as needed for finance auditing

- Collect, report and analyze financial data (including T&E and non-T&E financial data) as needed for collaboration with FP&A team

- Education/Experience:

- Any combination of education, experience and training that would provide the required knowledge and abilities is appropriate.

- Minimum 3 years Previous experience of computerized Travel and Expense systems

- An associate degree in accounting, business administration or a related field

- Required Skills:

- Excellent verbal and written communication skills

- Proactive delivery of communication and follow up

- Excellent organizational skills and attention to detail

- Must have the ability to independently prioritize and accomplish work within time constraints

- Self-motivated and forward-thinking personality

- Proficiency with Excel VLOOKUP, pivot tables, MS Office Suite

- Experience with Travel and Expense Systems

- Proficient knowledge of travel industry operations, IRS travel/fringe benefit guidelines, the expense reimbursement tool, and general understanding of overall travel and reimbursement procedures

- Concur experience preferred null
